Review and fix quantity mismatches between Etsy and Shopify

When a variation's stock count on Etsy differs from its count on Shopify, the Quantity Mismatches page lists it, so you can decide which number is right and correct it in one place. The page sits next to SKU Audit on the Inventory page, which means you can check SKUs and stock numbers in the same session.

How do I open Quantity Mismatches?

Quantity Mismatches is opened from the Inventory audit section of the Inventory page.

  1. Open Inventory in Shuttle.

  2. In the Inventory audit section, click Review quantity mismatches.

Quantity Mismatches needs a connected Etsy shop. Without one, the page asks you to connect your shop first.

How is Quantity Mismatches different from SKU Audit?

Quantity Mismatches works one variation at a time, while SKU Audit works one SKU at a time. The Inventory audit section has a button for each: Open SKU audit and Review quantity mismatches.

SKU Audit lists each SKU with its Etsy and Shopify quantities. When you enter a number under New Qty and click Sync, Shuttle sets that quantity on every variation with that SKU, in both Etsy and Shopify.

Quantity Mismatches lists the matched variations whose two quantities differ. For each one, you can correct the Etsy quantity, the Shopify quantity, or both.

Which variations appear on Quantity Mismatches?

Quantity Mismatches lists matched variations whose Etsy quantity and Shopify quantity are different. A variation is listed only when all of these are true:

  • It is matched to a variation in your other store.

  • The Etsy listing is active or sold out.

  • The Shopify product is active.

  • You have not excluded the product from updates and transfers.

  • The Shopify quantity is 999 or lower.

Some variations still appear even though Shuttle does not sync their stock. These include products excluded from stock syncing by tags, Shopify variations that do not track stock, and listings that allow backorders.

Which Shopify quantity does Quantity Mismatches compare?

The Shopify number on Quantity Mismatches is the stock at the location Shuttle syncs with Etsy, not the total across all your Shopify locations. For most variations that is the location chosen under Default Shopify location. A variation that is not stocked there uses the one other location that stocks it.

If you have more than one location and you set Quantity source for Etsy updates to Use combined quantity across all locations (use with caution), the page compares the combined stock across all your locations instead.

Both settings are in Settings > Products > General, in the Shopify inventory location section.

Find a variation on Quantity Mismatches

The search box on Quantity Mismatches finds variations by SKU, product or listing ID, variation ID, variation name or product title. Type at least three characters, then click Search or press Enter. Click Clear to show the full list again.

To see only the variations that are out of stock in one store, click Sold-out only. That shows rows where the Etsy quantity is 0, the Shopify quantity is 0 or lower, or the Etsy listing is sold out. Click Sold-out only again to see every mismatch.

Fix a quantity mismatch

Each row on Quantity Mismatches shows the variation, its SKU, and its Etsy and Shopify quantities in boxes you can edit. Nothing changes in either store until you click an update button.

  1. Find the variation and decide which number is correct.

  2. Type the correct quantity into the Etsy box, the Shopify box, or both. Quantities can be from 0 to 999.

  3. Send the change:

    • To update one store, click inside its box, then click the Update button that appears above it.

    • To update both stores at once, click Update both in the Actions column.

To make sure a change went through, check the variation's quantity in Etsy or Shopify afterwards.

Quantity Mismatches updates one row at a time, and there is no option to update every row at once. To change many quantities together, see Bulk update quantities between Etsy and Shopify or Updating Stock Levels in Bulk Using a CSV File.

Does fixing a mismatch update other variations too?

An update made on Quantity Mismatches can also change variations that are linked to the one you edit:

  • Duplicate SKUs: with Update stock levels for all duplicate SKUs turned on in Settings > Products > General, other variations with the same SKU get the new quantity too. The page shows "Duplicate SKUs will be updated as well."

  • Kits: when the variation is part of a kit, Shuttle updates the kit quantities as well. The page shows "Kit quantities will be updated as well."

  • Custom matches: when the variation has a custom match, Shuttle updates the variation it is matched to.

Export quantity mismatches to a CSV file

The quantity mismatches export gives you a CSV file of the list, which is useful for checking stock away from Shuttle. The file follows the search and the Sold-out only filter you have applied.

Each row has the product, the variation name and SKU in both stores, both quantities, the difference between them, and links to the Etsy listing and the Shopify product.

  1. On Quantity Mismatches, click Export to CSV.

  2. Click Export now, and keep the window open while the export runs.

  3. When the export is complete, click Download CSV. Shuttle also emails the file to your store's email address.

To export quantity mismatches, you need the Growth plan or higher. The export is not part of the free trial.

Why can't I update quantities on Quantity Mismatches?

Quantity Mismatches shows a warning at the top of the page when something is stopping updates:

  • Etsy's API call limit reached: updates are paused for now. The banner shows roughly when they will resume, so wait until then and try again. See What is the Etsy API Call Limit?

  • Inventory location problem: there is an issue with your selected Shopify location. Click Update settings and choose a working location under Default Shopify location. See Cannot set stock levels. The currently selected Shopify inventory location is deactivated.

  • Reconnect your Etsy shop or Etsy credentials need refreshing: click the button in the banner to reconnect Etsy.

  • Shopify permissions need to be updated: click Update permissions to give Shuttle the access it needs.
